The Executive Assistant is a developmental role for a candidate who desires to learn AIG Benefit Solutions and the product organization as a platform to pursue positions of increasing responsibility over time and based on performance.
The Executive Assistant will partner with the Head of Product to effectively administer the department and boost the team's efficiency. This position is responsible for the full array of administrative assistance for the assigned senior officer and staff, including scheduling, travel arrangements, and budget review. This position will provide support in dealing with confidential and sensitive situations demanding good judgment and discretion. This position will require the ability to interact with all levels of the organization, including senior management, as well as internal and external customers.
The Executive Assistant will establish and manage internal processes and systems to improve the administration of the department. This position will provide meeting support to the assigned senior officer, including agendas and minutes, and will engage in certain business initiatives to provide project support and learning opportunities.
Immediate Performance Objectives:
Develop, establish and help manage systems and processes for the department
Develop strong understanding of company policies and procedures
Prepare and assist with materials for presentations, and translate materials into easily consumable PowerPoint decks
Manage annual budgeting process for department and monthly variance reporting
Coordinate monthly contributions to senior management and other reports, and maintains databases as needed
Tracks project deadlines and deliverables
Manage departmental administrative work flow such as: routine correspondence and telephones; process invoices and expense reports; coordinate travel and reservations for senior officer and staff; maintain calendars for department head and staff
Handles meeting and event planning including all logistical arrangements
Handles departmental timekeeping responsibilities
Processes mail, orders supplies, business cards, business collateral, equipment, etc.
Assumes project responsibilities and other opportunities to learn the business
Additional Objectives:
Provides backup for administrative staff of other senior management
Maintains confidential files
Additional tasks and responsibilities as assigned
College degree required
MBA or advanced degree strongly preferred
Demonstrated leadership ability
Internship or related job experience
Excellent communication, interpersonal and partnering skills
Strong attention to detail
Initiative to identify, recommend and implement tasks and process improvements
Proficiency in Microsoft Office applications including Excel, PowerPoint, Word and Outlook
Ability to handle a diversified, fast-paced, deadline-oriented environment and to effectively manage multiple competing priorities
Demonstrated initiative and process orientation
Self directed with the ability to work independently with minimum supervision in a matrix organization

The fraudster will send a check to the victim who has accepted a job. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
